Vellora365 Scaffolding is provided by Folfram Products Ltd ("we", "us"). This policy explains what personal data we collect through Vellora365 Scaffolding, why, and what rights you have over it.

Who this covers

Vellora365 Scaffolding is business software used by scaffolding companies (our "customers") to run their operations. This policy covers two groups of people: people at our customer companies who use Vellora365 Scaffolding directly (directors, planners, gang members, tag inspectors, HGV drivers), and individuals whose details our customers store inside Vellora365 Scaffolding as part of running their business (their own customers, contacts and site staff). We process the second group's data on our customer's behalf, as their data processor — if that's you, and you have a query about your data, it's best directed to the scaffolding company you dealt with, who controls that data.

What we collect

• Account data: name, email address, phone number and role for anyone with a Vellora365 Scaffolding login.
• Company data: company name, address, VAT and company number, branding, entered by the account owner.
• Operational data: jobs, quotes, customers, employees, wages, holiday bookings, vehicle checks and inspection records entered by our customers as part of running their business.
• Photographs: scaffold tag photos and inspection images uploaded through the app, timestamped and linked to the relevant job.
• Usage data: sign-in timestamps and basic technical logs (IP address, browser type) for security and fault-finding.

Why we process it

• To provide the Vellora365 Scaffolding service — scheduling, tagging, inspections, invoicing and reporting.
• To operate accounts: authentication, role-based access control, and billing.
• To keep the service secure and to diagnose faults.
• To meet legal obligations, including scaffold inspection record-keeping and HGV compliance checks that our customers are required to maintain.

Who we share it with

We use a small number of sub-processors to run Vellora365 Scaffolding:

• Supabase — database, authentication and file storage.
• Vercel — application hosting.
• Stripe — subscription billing (payment card details go directly to Stripe; we don't store them).
• Xero — where a customer has connected their own Xero account, invoice data is shared with Xero at their direction.

We don't sell personal data, and we don't share it with anyone else except where required by law.

Where it's stored

Data is hosted with our infrastructure providers listed above. We take reasonable steps to ensure any transfer of data outside the UK/EEA is protected by appropriate safeguards.

How long we keep it

We keep account and operational data for as long as a customer's Vellora365 Scaffolding subscription is active, plus a reasonable period afterwards to meet legal and accounting obligations (including scaffold inspection and HGV compliance records, which UK regulations require to be retained). We delete or anonymise data on request where we're not required to keep it.

Your rights

Under UK GDPR you have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. If your data was entered into Vellora365 Scaffolding by a scaffolding company you're a customer or contact of, please contact them directly, as they control that data.
